FULL-TIME FULL CHARGE GL BOOKKEEPER

Basic Job Functions:

  • Ability to reconcile bank accounts daily.
  • Filing and remitting monthly and quarterly taxes.
  • Ability to maintain and reconcile multiple business entities' G/L accounts.
  • Process AP transactions for approval by the manager.
  • Compiling and presenting reports, budgets, and financial statements monthly.
  • Being able to work closely with owners and managers on financial records.
  • Set up and maintain budget forecasts for monthly review.
  • Administering payroll for approval by the manager.
  • Provide accurate, timely, and relevant recording, reporting, and analysis of financial information.
  • Protects operations by keeping financial information confidential.
  • Prepare year-end process to turn into the CPA firm.
  • Maintain a clean workflow that is easy to reference if needed.
  • Maintain and use the paperless system within the software.

Requirements:

  • Associate or Bachelor in tax, accounting, or finance.
  • Experience with general ledger functions and month-end and year-end close processes.
  • A minimum of 3+ years’ experience required
  • Must be familiar with Microsoft Business Suite
  • Must pass a background check and character reference checks.
  • Must have a minimum of three job-related references (non-family)
  • Knowledge of Sage Intacct would be helpful, but not required
  • Knowledge of ADP Payroll system would be helpful, but not required

FULL-TIME CUSTOMER SERVICE REPRESENTATIVE

  • Answer incoming inquiries from customers in a courteous manner to help build relationships with the customer base.
  • Be proactive in assessing the needs of a customer and addressing promptly.
  • Handle administrative, data entry, and reconciliation of accounts receivable.
  • Process daily batches with customers’ invoices and payments.
  • If a dispute is made, research and keep the customer in the loop of the resolution.
  • Understand the importance of good data and work to maintain current information on accounts.
  • Collect on past due balances and keep accounts receivable up to date.
  • Enter delivery or service work orders for deliveries, tank installs, and other technical issues.
  • Maintain mandatory documents are filed in our digital filing system and keep up to date as needed.
  • Ensure that every new customer has their mandatory documents completed, including required safety documentation, credit applications, agreements, etc.
  • Assist the service manager in communicating to customers the status of their service tickets and any status changes.
  • Assist the service manager in maintaining an inventory of tanks and select parts.
  • Complete data entry of service tickets.
  • Maintain DOT truck and employee records. Notify shop of upcoming tests that are due. Schedule drug screens, physicals, and other driver testing with local facilities.
  • In slower times of business, work with other team members on seasonal projects to prepare for the new season.

Qualifications:

  • At least 21 years of age
  • High school diploma or equivalent
  • 1-3 years of accounting or accounts receivable experience
  • 1-3 years of customer service or other applicable work experience.
  • Intermediate computer skills including Microsoft Office suite.
  • Ability to work in a group office setting, whether the task requires independent or group work.
  • Ability to multitask between customer service and clerical work.
  • Ability to work in a fast-paced office.
  • Must pass a background check and character reference checks.
  • Must have a minimum of three job-related references (non-family).
  • Make sure that proper new customer documentation is completed, including safety documentation and forms, credit application, loaned equipment agreements, and propane tank leases.
  • Collect past due balances and keep accounts receivable up to date.
  • Maintain a good work teamwork relationship with employees
  • Maintain an organized and clean workspace.
  • Complete monthly checks of serial-numbered equipment, including tanks and remote sensors.
  • Maintain inventory of parts, tanks, and other service-related items.
  • Works with other accounts receivable representatives to make sure all seasonal work is up-to-date.

Qualifications:

  • At least 21 years of age
  • High school diploma or equivalent
  • Minimum of 3 years of customer service work experience
  • 1-3 years of accounts or accounts receivable work experience
  • Computer skills, including Microsoft Business Office suite.
  • Ability work in a fast-paced work environment
  • Must pass background check and character reference checks.
  • Must have a minimum of three job-related references (non-family)
